Choosing a support platform for a Ukrainian business: 12 checks
Every vendor demo shows the same tidy inbox. The differences appear in the second month, when the pricing model and the missing channel have both become your problem.
Demos are designed to look identical. To tell tools apart, ask questions whose answers cost the vendor something to give honestly. These twelve do that.
Channels and platform rules
1. Which channels are connected through official APIs? Ask per channel, not in general. Instagram, WhatsApp and Viber each have their own requirements, and "supported" sometimes means a browser extension logging into an account.
2. What happens outside the messaging window? A vendor who does not mention Meta's 24-hour rule has either not built it or is planning to break it. See Instagram Direct for business.
3. Can one customer be one profile across channels? Ask them to show a person who wrote in Viber and then in Instagram, in one thread.
Pricing
4. What is the unit — a seat, a workspace, or a conversation? Per-seat pricing quietly taxes the colleague who answers twice a week, and it is the reason teams share one login.
5. What is not in the price? Usually: extra channels, the AI, integrations, history retention beyond a few months, and onboarding.
6. Can you invoice in hryvnia? For a Ukrainian company that is an accounting requirement, not a preference.
7. What happens when you exceed the plan? Overage billed quietly, or the channel stops? Both exist, and only one of them is survivable in a sales channel.
Language and AI
8. How good is its Ukrainian — not in the interface, in the answers? Test it with a real customer message containing a typo, mixed language and a shortened word. This is where most international tools quietly fail.
9. Where do the AI answers come from? If the tool cannot show the document behind an answer, nobody can verify it. See AI answers with sources.
10. What happens when the AI does not know? Ask for a live demo with a question their demo knowledge base cannot answer. Watch whether it invents.
Data, integrations and exit
11. Which CRM does it actually integrate with? In Ukraine the question is concrete: KeyCRM, SalesDrive, NetHunt, Uspacy, OneBox. "We have an API" means you are paying a developer. Related reading: HelpDesk or CRM.
12. How do you get your data out? Conversations, tickets, customer records and knowledge base, in an open format, on request. A vendor who cannot answer this is describing a hostage situation.

Not a demo — a pilot. One real channel, real customers, two weeks, with the metrics from support metrics that matter recorded before and after. Every tool looks good in a demo; only some of them survive a Friday evening.
What usually decides it
For most Ukrainian teams under ten people the decision comes down to three things: whether the channels their customers actually use are supported properly, whether the pricing punishes them for adding people, and whether the AI can be trusted with an answer in Ukrainian. Everything else is a preference.
